Who we are
Integraite Solutions ("Integraite", "we", "us") is a software contractor based in Omaha, Nebraska. We build custom software, websites, and AI integrations, and we host and maintain websites and applications for our clients.
This policy covers integraite.solutions, our client portal, and the emails we send. It does not cover websites or applications we build or host for our clients; each client is responsible for the privacy practices of its own site or app.
Information we collect
Information you give us:
- Quote requests: your name, email, phone number, company, how you heard about us, and the details you share about your project.
- Client accounts: your name, email, and phone number, plus your password (stored only as a secure one-way hash, never in readable form).
- Project work: the files, messages, support tickets, and board items you or your team add to the client portal.
Payments: when you pay an invoice, our payment processor, Stripe, collects your card or bank details directly. We receive confirmation of the payment and limited details such as the amount and status. We never see or store your full card or bank account number.
Information collected automatically: when you sign in or use the portal we record security information such as your IP address, browser type, and the time of each sign-in attempt. We also keep a record of the emails we send you.
Business outreach and publicly available information
To find businesses that may benefit from our services, we collect publicly available business contact information, such as a business name, website, industry, region, and a work email address and contact name, from public websites and business directories. We gather this using automated tools, including AI, and record where each piece of information came from.
A person on our team reviews every contact before we send anything. We aim to contact businesses only through work addresses, not personal ones.
Every outreach email includes an unsubscribe link and our mailing address. If you unsubscribe or ask us to stop, we add your address to a suppression list so we do not contact you again. You can also email team@integraite.solutions to opt out or to ask what we have about you.
How we use information
- To respond to quote requests and prepare proposals.
- To deliver and support the projects, hosting, and services you engage us for.
- To run your client account, including sending sign-in and verification codes.
- To invoice you and process payments.
- To send service emails about your projects, invoices, and account.
- To send marketing emails to business contacts, which you can opt out of at any time.
- To keep our systems secure, prevent fraud and abuse, and meet our legal obligations.
AI and automated processing
We use AI services from third-party providers, currently Anthropic, to research publicly available business information and to draft outreach for human review. We use them under commercial terms that do not allow the provider to use the data we send to train its models.
When we build AI features for a client, how that client's data is processed is governed by our written agreement with that client.
We do not use AI to make decisions about you that have legal or similarly significant effects.
How we share information
We do not sell personal information, and we do not share it for targeted advertising. We share it only with:
- Service providers who run parts of our business for us: Microsoft Azure (hosting and data storage), Stripe (payments), our email delivery provider, and Anthropic (AI services). They may use the information only to provide their services to us.
- Your own organization: people your company has given access to a project can see that project's information in the portal.
- Authorities, when the law requires it or when needed to protect our rights, our clients, or others.
- A buyer or successor, if Integraite is involved in a merger, acquisition, or sale of assets. This policy would continue to apply to your information.
Cookies
We use a single essential cookie to keep you signed in to the client portal. It is required for the portal to work and is not used for tracking.
We do not use advertising or analytics cookies. If that changes, we will update this policy and ask for your consent where the law requires it.
Your email choices
You can unsubscribe from marketing emails using the link in any of them, and clients can manage email preferences from their profile in the portal.
While you have an active account or project, we will still send emails needed to provide the service, such as verification codes, invoices, and project updates.
How long we keep information
We keep information for as long as we need it for the purpose we collected it for. We keep account and project records for the life of our relationship with you, and we keep invoices and payment records for as long as tax and accounting law requires.
We keep opted-out email addresses on our suppression list indefinitely, because that is how we make sure we do not contact you again.
When you ask us to delete information, we delete it or remove anything that identifies you, unless the law requires us to keep it.
Security
We protect information with encryption in transit, hashed passwords, emailed verification codes at sign-in, and access controls that limit each person to the projects they work on. No system is perfectly secure, but we work to protect your information and will notify you of a breach when the law requires it.
Your rights
Depending on where you live, you may have the right to:
- Know what personal information we have about you, and get a copy of it.
- Correct information that is inaccurate.
- Have your information deleted.
- Opt out of marketing emails.
To make a request, email team@integraite.solutions. We may need to confirm your identity before acting on a request. We respond within 45 days. If we decline a request, you can appeal by replying to our decision. We will not treat you differently for exercising these rights.
Children
Our services are for businesses and are not directed to children. We do not knowingly collect information from anyone under 16.
Changes to this policy
When we update this policy, we will post the new version here with a new effective date. If we make significant changes, we will also notify account holders by email or in the portal.
